General rules of the Erasmus+ STUDIES program:

  1. Students of long-cycle Master’s studies, Bachelor’s studies and supplementary Master’s studies are able to study at partner universities for 2 semesters maximum during one academic year (a full academic year mobility).
If a student wants to participate in the Erasmus+ exchange in the following academic year, after already spending 2 semesters abroad, it is necessary to obtain the consent of the Dean of the relevant faculty. However, if the mobility lasted 1 semester, such approval is not required for application in the next academic year.
For long-cycle Master’s studies, the maximum total duration of all mobilities may be 4 semesters.

To sum up, Erasmus+ Studies mobility may last:

  • a total of 24 months maximum for long-cycle Master’s degree programs
  • a total of 12 months maximum for first-cycle (Bachelor’s) or second-cycle degree (Master’s) programs

  1. In the Erasmus+ program selection process, applications from candidates who have not previously participated in an exchange are considered first.
  2. If two or more candidates obtain the same number of points in the ranking list, priority for participation in the Erasmus+ program is given to students with a higher grade point average.
  3. If all available spots at the chosen host university are filled, the candidate will be placed on the reserve list.
  4. Participation in supplementary recruitment is not possible for the students who have already been qualified in the first round of recruitment.
  5. The student is obliged to submit the application form and all recruitment documents only via their student e-mail address in the WUM domain.
  6. Applications submitted without the required attachments will not be considered.
  7. Application documents submitted after the recruitment period (specified on the International Relations Office’ website annually) will not be considered.
  8. Candidates have the right to submit an appeal within 7 calendar days from the date of receiving the qualification results from the International Relations Office. Appeals should be submitted by e-mail to: the University Coordinator, the Faculty Coordinator and the International Relations Office staff member (joanna.godlewska@wum.edu.plangelika.stankiewicz@wum.edu.pl).

The University Coordinator, in consultation with the Faculty Coordinator, has 14 calendar days to make the decision and inform the student of it. This decision is final.

  1. After qualifying for studies abroad in the following academic year under the Erasmus+ program, the mobility may be undertaken provided that the previous academic year completed abroad has been fully settled and the year of study preceding the mobility has been credited at WUM.
  2. The scholarship awarded to an individual student is intended to cover increased living expenses abroad, travel costs, accommodation and other related expenses. It is not intended to cover the full costs associated with staying abroad.
  3. The amount of the scholarship depends on the limit for the destination country set by the European Comission and duration of stay. The total amount of funds is distributed among students selected for mobility in a given academic year in accordance with limits established by the National Agency.
  4. The details of the funding are specified more precisely in the financial agreement, a template of which is published annually by the National Erasmus Agency.
  5. It is possible for a qualified student to undertake a mobility within the Erasmus+ program without receiving a grant (so-called “zero grant”). In such case, approval from the Faculty Coordinator is required.
  6. The Erasmus+ STUDIES grant is paid in two installments:
    - 1st installment after signing the financial agreement (80%)
    - 2nd installment after returning from the mobility and settling the completed studies abroad based on the Transcript of Records (ToR) and Confirmation of arrival and departure (20%)
  7. If WUM receives additional funds from the Foundation for the Development of the Education System, the financial agreement will be amended and the additional funds will be paid after the completion of the mobility.
  8. The student prepares the Application form and Learning Agreement (LA) agreed on and approved by the Faculty Coordinator in accordance with the deadlines set by a partner university. The student is responsible for completing the internal application at the host university, including adhering to the specified deadlines for submitting  application documents.
  9. The student is obliged to immediately inform the Faculty Coordinator of any changes to the Learning Agreement, obtain the host university’s approval and send the ‘’During the Mobility” section of the LA to the International Relations Office (joanna.godlewska@wum.edu.plangelika.stankiewicz@wum.edu.pl) in order to receive Faculty Coordinator’s approval at WUM. Changes to the Learning Agreement can be made no later than 30 days before the end of the exchange.
  10. Courses completed by the student outside of those listed and approved in the Learning Agreement (LA) will not be recognized. Courses that ultimately appear in the Transcript of Records, but are not covered by the LA, will not be recognized either.
  11. Grade obtained from practical classes is not considered an exam grade.
  12. Before and after the mobility, the student may apply for an Individual Study Plan. The application should include a certificate of mobility issued by the International Relations Office. The conditions for passing the remaining subjects should be arranged with the Dean’s Office.
  13. If a student completes the mobility earlier than agreed in the contract and all other conditions of the agreement are met (the minimum duration of stay was 2 months), a partial refund of the grant will be required in proportion to the shortened period of stay.

If a student ends their stay earlier than agreed in the contract,

and other terms of the contract are met (minimum stay of 2 months), they will be required to return part of the scholarship in proportion to the shortened period of stay.

  1. If a student does not submit the documents required for the settlement of the mobility, i.e., Transcript of Records, Certificate of arrival and departure, does not complete a report sent by the European Commission, as well as does not comply with the terms of the financial agreement concluded with WUM, it may result in demand for a refund of all or part of the scholarship awarded. The student is obliged to submit the above-mentioned settlement documents within 30 days from the end of the exchange determined in the Certificate of arrival and departure.
  2. Extension of studies due to participation in an academic exchange is not possible.
  3. Erasmus+ scholarship recipients may not simultaneously receive funding from other programs (with the exception of SEMP).
  4. To completely withdraw from an awarded mobility, the student has to inform via e-mail the International Relations Office, as well as the partner university of their decision (if the nomination has been sent). We kindly ask for prompt information of withdrawal so that other students have an opportunity to take the available spot.
