General rules of the Erasmus+ TRAINEESHIPS programme:
- Students may apply in the same academic year for both studies and traineeships; the duration of the mobilities is added up. Studies and traineeships may not take place at the same time.
- a total of 24 months maximum for long-cycle Master’s degree programmes
- a total of 12 months maximum for first-cycle (Bachelor’s) or second-cycle degree (Master’s) programmes
- The student’s traineeships at the host institution may not be shorter than 2 full calendar months; 1 month = 30 days.
- In the Erasmus+ programme selection process, applications from candidates who have not previously participated in an exchange are considered first.
- If two or more candidates obtain the same number of points in the ranking list, priority for participation in the Erasmus+ programme is given to students with a higher grade point average.
- If all available traineeships spots are filled, the candidate will be placed on the reserve list.
- Participation in supplementary recruitment is not possible for the students who have already been qualified in the first round of recruitment.
- The student is obliged to submit the application form and all recruitment documents only via their student e-mail address in the WUM domain.
- Applications submitted without the required attachments will not be considered.
- Application documents submitted after the recruitment period (specified on the International Relations Office’ website annually) will not be considered.
- Candidates have the right to submit an appeal within 7 calendar days from the date of receiving the qualification results from the International Relations Office. Appeals should be submitted by e-mail to: the University Coordinator, the Faculty Coordinator and the International Relations Office staff member (joanna.godlewska@wum.edu.pl, angelika.stankiewicz@wum.edu.pl).
The University Coordinator, in consultation with the Faculty Coordinator, has 14 calendar days to make the decision and inform the student of it. This decision is final.
- After qualifying for traineeships abroad in the following academic year under the Erasmus+ programme, the mobility may be undertaken provided that the previous academic year completed abroad has been fully settled and the year of study preceding the mobility has been credited at WUM.
- The scholarship awarded to an individual student is intended to cover increased living expenses abroad, travel costs, accommodation and other related expenses. It is not intended to cover the full costs associated with staying abroad.
- The amount of the scholarship depends on the limit for the destination country set by the European Comission and duration of stay. The total amount of funds is distributed among students selected for mobility in a given academic year in accordance with limits established by the National Agency.
- The details of the funding are specified more precisely in the financial agreement, a template of which is published annually by the National Erasmus Agency.
- It is possible for a qualified student to undertake a mobility within the Erasmus+ programme without receiving a grant (so-called “zero grant”). In such case, approval from the Faculty Coordinator is required.
- The Erasmus+ TRAINEESHIPS grant is paid in one installment:
- 1st installment after signing the financial agreement (100%) - If WUM receives additional funds from the Foundation for the Development of the Education System, the financial agreement will be amended and the additional funds will be paid after the completion of the mobility.
- The student prepares the Application form and Learning Agreement for Traineeship (LAT) agreed on and approved by the Faculty Coordinator in accordance with the deadlines set by a host institution (the student is responsible for completing the internal application, including adhering to the specified deadlines for submitting application documents).
- The student is obliged to immediately inform the Faculty Coordinator of any changes to the Learning Agreement for Traineeship and send the LAT ‘’During the Mobility” section to the International Relations Office (joanna.godlewska@wum.edu.pl, angelika.stankiewicz@wum.edu.pl) in order to receive Faculty Coordinator’s approval at WUM. Changes to the Learning Agreement can be made no later than 30 days before the end of the exchange.
- Activities completed by the student outside of those approved in the Learning Agreement for Traineeships will not be recognised.
- If the host institution agrees to extend the mobility period, the Participant may extend it by e-mail, within the limit specified in point 1, no later than 30 days before the end of the mobility. Extension of the mobility period is equivalent to adding activities and changing the dates in the LAT During the Mobility section.
- If a student completes the mobility earlier than agreed in the contract and all other conditions of the agreement are met (the minimum duration of stay was 2 months), a partial refund of the grant will be required in proportion to the shortened period of stay.
- If a student does not submit the documents required for the settlement of the mobility, i.e. completed LAT After the Mobility section, Certificate of arrival and departure, does not complete a report sent by the European Commission, as well as does not comply with the terms of the financial agreement concluded with WUM, it may result in demand for a refund of the entire grant awarded. The student is obliged to submit the above-mentioned settlement documents within 30 days from the end of the exchange determined in the Certificate of arrival and departure.
- Extension of studies due to participation in an academic exchange is not possible.
- Erasmus+ scholarship recipients may not simultaneously receive funding from other programmes (with the exception of SEMP).
- In case of Erasmus+ traineeship mobility, participation of graduates is permitted, provided that the candidate is qualified for the exchange during the final year of studies and completes the traineeships abroad within 12 months from the date of graduation (loss of student status).
- To completely withdraw from an awarded mobility, the student has to inform via e-mail the International Relations Office, as well as the partner university of their decision (if the nomination has been sent). We kindly ask for prompt information of withdrawal so that other students have an opportunity to take the available spot.
