UNIVERSITY RULES OF FINANCING THE ERASMUS+ EXCHANGE AND CONDITIONS FOR THE PARTICIPATION OF STUDENTS OF THE MEDICAL UNIVERSITY OF WARSAW IN THE ERASMUS + PROGRAM

ERASMUS+

A student applying for Erasmus+ programme must be enrolled for undergraduate, graduate or doctoral studies or long-cycle studies at a Polish sending institution.

A student applying for Erasmus+ programme may be a citizen of any country or have the status of a stateless person.

A student applying for studies as part of Erasmus+ mobility programme must be a student of the MUW and have completed 1st year of study.

1. Students of the MUW are qualified to take part in Erasmus upon:

  • arithmetic mean of the grades of all years of studies; the calculation covers the examination grades, including retake grades, if any (the arithmetic mean does not include credits),
  • documented fluency in a foreign language required by the partner university at a level that makes it possible to continue studies,
  • documented activity at a research club (an opinion of a supervisor, publications, participation in conferences, contests, etc.).

2. If the criteria (Section 1 above) are equally evaluated the priority to take part in Erasmus+ is granted to students applying for the programme for the first time.

3. A student’s stay at a university/receiving institution in a given academic year must be not shorter than 3 months and not longer than 12 months, and in the case of traineeships – not shorter than 2 months and not longer than 12 months.

4. A student can go abroad at every of the three levels of studies, and the total duration of stay cannot exceed 12 months (at the undergraduate, graduate and doctoral studies). Students of long-cycle studies or equivalent studies (e.g. medical programmes) are entitled to go abroad for the total period of up to 24 months. The mobility capital (number of months spent abroad as part of Erasmus programme) is calculated separately for a given level of studies. When calculating the mobility capital the months of all completed trips must be summed up (both for studies and traineeships) at a given level of studies (any trips as part of previous editions of Erasmus, such as Socrates-Erasmus or LLP-Erasmus are included).

5. When a student is qualified to study/conduct a traineeship abroad as part of Erasmus+ programme he/she can go provided that he/she gets a credit for the year of studies preceding the trip.

6. The scholarship granted to a student is intended for paying additional costs of staying at a university/partner institution (e.g. travel and insurance expenses, language learning costs, increased costs of subsistence abroad). The purpose of the scholarship is not to cover full costs connected with staying abroad.

7. Scholarships are distributed centrally, at the level of the university. The amount of the scholarship depends on the chosen target country and the duration of the stay. The total amount of the funds received from the National Agency for Erasmus+ Programme is distributed among the students qualified to go abroad in a given academic year according to the limits determined by the National Agency.

8. The scholarship is paid in two instalments as soon as an agreement is signed between the student and a representative of the university:

  • 70-80% of the amount specified in the financial agreement is supplied to the student after he/she starts his/her stay abroad, after the National Agency supplies the funds allocated to the MUW;
  • the remaining 20-30% of the amount is paid to the student after he/she comes back from the studies/traineeship and makes the obligatory settlements of documents at the International Affairs Office of the MUW (confirmation of the stay duration, transcript of records)

9. It is possible that an additional payment will be made to the originally granted scholarship amount after the final number of months spent by a student abroad in a given academic year is determined and additional funds are supplied by the National Agency. Additional payments, if any, will be made upon the presentation of the confirmation of stay by the student.

10. A student can go abroad as part of Erasmus+ programme without a scholarship (so-called ‘zero grant’).

11. The agreement made between the MUW and a student is valid for the period from 1 June to 30 September of the following year. The student must start and end his/her stay at the partner institution within the said term of the agreement.
